Finance & Administration Officer

Ghent, Belgium

We are looking for a new team member with a strong administrative background and a can-do attitude. You will deal with internal and external follow-up of administration and play a crucial role in our organization. You are therefore the first point of contact for all administrative questions.

Key responsibilities

  • You take care of suppliers’ accounting (scanning + booking purchase invoices, contacts with suppliers and internal purchasers, maintaining supplier data, archiving).
  • You check and process the payments from the webshop and you ensure a correct flow up to Sales and Logistics.
  • You ensure correct input of created orders and adjust them where necessary so that they can be followed up correctly. You ensure that everything is perfectly maintained in our ERP system and you adopt a critical attitude.
  • You support the CFO with monitoring budgets and internal flows. You are proactive in optimizing our current work processes.
  • You are responsible for the follow-up of creditor management and you check the overdue items on a weekly basis.
  • You work efficiently and flawlessly according to the established procedures and guidelines and you do this with an eye for detail and with an analytical mindset.
  • You are responsible for the office management, communicating with suppliers and ordering office materials and equipment.
  • You will assist in HR admin tasks and fleet management.

Profile

  • You have a first experience in a similar back-office role
  • Experience with Odoo (or a similar accounting tool) is a strong plus
  • You are fluent with Microsoft Office (Word – Excel – PowerPoint)
  • You understand how critical correct numbers are and you like to dive into reports and analytics
  • You are stress-resistant, and you can deal with strict deadlines
  • You are not afraid to look at the current processes with a critical view and can take these processes to a higher level with your creative mindset
  • You have perseverance and the flexibility to evolve in a continuously growing and changing environment
  • You are friendly and customer-oriented
  • You can work independently and manage your own responsibilities - you take ownership of your work
  • You are fluent in business English, both written and spoken
  • You are well-organized, meticulous and a team player
